Part 1: Privacy Policy
1. Who we are
Bolthole Design Limited is the data controller for the personal information described in this policy.
Business name: Bolthole Design Limited
Company number: 11846900
Owner: Caroline Bolt
Email: studio@boltholedesign.co.uk
Address: 62 Ella Road, West Bridgford, Nottingham, NG2 5GW
If you have questions about this policy or how we use your information, please email us at studio@boltholedesign.co.uk.
2. What information we collect
We collect information in the following ways:
a) When you use the BUILD-READY Scorecard
We may collect your name, email address, your Scorecard answers and resulting scores, and any project information you choose to submit (such as your postcode or notes about your project). The Scorecard is hosted by a third-party platform called ScoreApp.
b) When you download resources, sign up to our mailing list, or contact us
We may collect your name, email address, messages you send us, and any details you include. If you become a client, we will also collect information needed to manage your project and meet our legal and accounting obligations.
c) When you browse our website
Like most websites, we may collect limited technical information such as your IP address (or an anonymised version), device and browser information, and pages visited. This is collected through cookies and similar technologies — see Part 2 for more detail.
3. How we use your information
We use personal information to provide and improve our services, communicate with you, manage our business, and comply with our legal obligations. This includes delivering your Scorecard results and resources you have requested, sending you emails where you have opted in, improving our tools and content, maintaining the security and performance of our website, and legal administration.
UK GDPR requires us to have a lawful basis for processing personal data. Depending on the purpose, we rely on: your consent (for example, where you opt in to receive emails); the performance of a contract (for example, delivering what you have requested); legitimate interests (for example, running and improving our business); and legal obligation (for example, keeping accounting records).
We will not use your information for purposes that are incompatible with why it was collected. If we wish to use it in a materially different way, we will let you know.
4. Automated scoring
The BUILD-READY Scorecard uses automated scoring to produce readiness categories. This helps present your results clearly and is not intended to produce legal or other similarly significant effects.
5. Who we share your information with
We only share personal information with trusted service providers where necessary to operate our business and deliver our services. These currently include:
ScoreApp — hosts and processes Scorecard responses
Kit (formerly ConvertKit) — email delivery and subscriber management
Google Analytics — website usage analytics
Acuity Scheduling — appointment bookings
Stripe — payment processing
QuickBooks — accounting and financial administration
Airtable — internal business operations and content management
Website hosting providers — to host and maintain our website
We do not sell your personal data. This list may change over time as our tools and providers evolve; we will update this policy accordingly.
6. International transfers
Some of our service providers may store or process data outside the UK (for example, in the USA). Where this happens, we rely on appropriate safeguards to protect your information, such as standard contractual clauses or equivalent protections recognised under UK law.
7. How long we keep your information
We keep personal information only for as long as necessary for the purpose for which it was collected, or as required by law. As a guide, Scorecard entries and resource requests are typically retained for up to 24 months from your last interaction with us (unless you become a client, in which case client project and accounting records are retained for up to six years). You can request deletion of your data at any time (see Section 8).
8. Your rights
Under UK data protection law, you have the right to access your personal data, request correction of inaccurate data, request deletion of your data (in certain circumstances), restrict or object to certain types of processing, receive your data in a portable format (in certain circumstances), and withdraw your consent at any time where consent is the basis for processing.
To exercise any of these rights, please email studio@boltholedesign.co.uk. If you are unhappy with how we handle your information, you have the right to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
9. Security
We take reasonable steps to protect your personal information, including using reputable and secure service providers, access controls, and appropriate technical measures. No online system is entirely risk-free, but we work to reduce that risk.
10. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised. Continued use of our website or services after changes are posted constitutes acceptance of the updated policy.
Part 2: Cookies Policy
11. What cookies are
Cookies are small text files placed on your device when you visit a website. Some are essential for the site to work; others help us understand how people use it or support marketing activity. Under UK rules (PECR), we need your consent before placing any non-essential cookies on your device.
12. How we use cookies
a) Strictly necessary cookies
These are required for core site functions such as security, load balancing, and remembering your cookie preferences. They do not require your consent.
b) Analytics cookies (optional)
We use Google Analytics to understand how people use our website — for example, which pages are visited and how long people spend on them. This helps us improve content and user experience. These cookies are only placed with your consent via the cookie banner.
c) Marketing cookies (optional)
If enabled, these may be used to measure the effectiveness of our marketing activity. These also require your consent.
13. Managing your cookie preferences
When you first visit our website, you will be asked to set your cookie preferences via a cookie banner. You can change your preferences at any time using the cookie settings link. You can also manage or delete cookies through your browser settings, though blocking strictly necessary cookies may affect how the site functions.
14. Cookies set by the Scorecard
The BUILD-READY Scorecard is hosted by ScoreApp which may use cookies or similar technologies to operate the service and measure its performance. These are governed by ScoreApp’s own cookie policy.
